Setup Method

Q1: What is the new procedure for configuration validation requests?

A : The new procedure aims to centralize information and configurations retrieved from customers, using the license number as a single point of entry. This makes it easy to retrieve the necessary information and manage validation requests more efficiently.

Q2: Why use the license number as a single entry point?

A: There may be many people involved in a single request (distributor, integrator, buyer, end customer, etc.), and storing information by the name of the contact or the end customer is unreliable. The license number is a unique and constant identifier, making it easier to centralize information.

Q3: Where are license activation files and configurations stored?

A: License activation files and configurations are stored in a reserved area on SharePoint, organized by year and license number. This space is accessible to everyone in the “Shared Documents”, “Licenses” folder.

Q4: How do I organize the documents in each license directory?

A: Each license directory contains several sub-directories to organize documents in their own way. The template defined for each license directory includes sub-directories such as “Backups”, ‘Documents’, “Scripts” and so on.

In the case of a backup to be validated, we'll put the configuration received in the “Backups” directory (see if we adopt a particular naming, with a date for example, or sub-directories) and send the SharePoint link to this configuration to Support. In the case of this request, the configuration in question is as follows:

Example :  AlertServeur1-GSM2024-10-23.abf

Q5: How do I validate a configuration backup?

A: To validate a configuration backup, place the received configuration in the “Backups” directory and send the SharePoint link to this configuration to Support. Once validated, the test report should be noted in the Odoo license record.

We can also provide you with a direct link to this license form in the validation request, to save you time. For the current request, the license form is as follows:

Example ;  Odoo - 03-0059

Q6 : Where can I file intervention reports and other license-related documents?

A: Intervention reports and other documents linked to a license should be filed in the “Documents” directory of the license. A “Report” sub-directory can be created for intervention reports, and other sub-directories can be added for sign-in sheets, technical specifications, etc.

Once a new mail has been generated from this template, the result is as follows:

  1. Enter license number
  2. Copy the path to the abf file on SharePoint once it has been saved in the “Backups” directory
  3. Copy the Odoo URL once the relevant license form is open in Odoo
